Reschedule and Cancellation Workflows FrontDeskClinic supports self-service reschedules and cancellations by patients, as well as staff-initiated changes from the dashboard. Patient self-service Patients receive a confirmation message with a secure link when they book an appointment. From that link they can: - Reschedule — Select a new available slot (subject to your advance-notice policy). - Cancel — Cancel with or without a reason (configurable). Self-service actions are logged with a timestamp and the channel used (link, SMS reply, or web widget). Advance-notice policy Set the minimum notice required for self-service changes under Settings > Scheduling > Cancellation Policy. For example, requiring 24-hour notice prevents last-minute self-service cancellations while still allowing staff to make same-day changes from the dashboard. Staff-initiated changes 1. Open the appointment in the calendar view or from Appointments > List. 2. Click Reschedule or Cancel. 3. If rescheduling, select the new slot; FrontDeskClinic will send the patient an updated confirmation automatically. 4. For cancellations, choose a cancellation reason (used for reporting). Waitlist backfill When an appointment is cancelled, FrontDeskClinic can automatically notify the next patient on the waitlist for that slot. Enable this under Settings > Scheduling > Waitlist > Auto-Notify. No-show tracking Mark appointments as No-Show from the calendar or check-in queue. No-show rates are tracked per provider and appointment type in the Reports > Scheduling section.

Setting Up Clinic Hours and Providers Accurate availability configuration is the foundation of online booking in FrontDeskClinic. This article covers clinic-level hours, provider templates, and blocked-time rules. Clinic hours 1. Go to Settings > Clinic > Hours of Operation. 2. Set the default open and close time for each day of the week. 3. Add any clinic-wide closure dates (holidays, staff training days) using the Closures panel. Clinic hours act as the outer boundary for all bookings. No appointment can be scheduled outside these hours, regardless of provider availability. Adding providers 1. Go to Settings > Team > Providers and click Add Provider. 2. Enter the provider's name, specialty, and NPI. 3. Assign the provider to one or more locations (for multi-site practices). Provider availability templates Each provider has an availability template that defines when they are bookable: 1. Open a provider record and click Availability. 2. Click Add Template and choose the days and times the provider sees patients. 3. Set the template's effective date range (or leave open-ended for ongoing schedules). 4. Add any recurring blocks (e.g., "No appointments Fridays after 3 PM"). Templates can be overridden on individual days using the Override feature in the calendar view. Appointment types Define appointment types (e.g., New Patient, Follow-up, Annual Wellness) with their duration, buffer time, and any provider-specific restrictions under Settings > Scheduling > Appointment Types.
